Invite your team
Once your org exists you can start bringing employees in. ScreenJournal supports three invitation methods — pick whichever fits how your company already communicates.
You'll find these on Step 1 of the onboarding wizard when you first sign up, and afterwards on the Members page in the sidebar.
Method 1 — Email invitations
The most common method. ScreenJournal sends each employee a personal email with a sign-up link.
- Open Members → Invite.
- Type the email address of each employee (or paste a comma- or newline-separated list).
- Optionally pick a team to pre-assign them to.
- Click Send invites.
Each employee gets an email that says (roughly):
"Your manager has invited you to ScreenJournal. Click below to create your account."
The link in that email carries a referral code that automatically attaches the new account to your org — the employee doesn't have to type your org name anywhere.
You can see pending invitations on the same page; they live in a Pending tab until the employee actually signs up.
Method 2 — Org-wide invite link
A single link you can share once and reuse for everyone.
- Open Members → Invite.
- Find the Organisation invite link row.
- Click Generate link if it doesn't exist yet, then Copy link.
- Paste the link into Slack, Microsoft Teams, an email blast, your internal wiki, or wherever your team already lives.
Anyone who follows the link is taken to a sign-up page pre-wired to your org. They still create their own password.
Method 3 — Team join links
The same idea as Method 2, but per team. New members coming in via a team link automatically belong to that team and pick up the team's desktop-policy overrides on day one.
- Make sure you have at least one team. Create teams from the Members → Teams tab.
- For the team you want, click Generate link in the Team invite link row.
- Copy the link and share it with the people who should be in that team.
If you'd rather not share a long URL, use Create join code instead — that produces a short alphanumeric code your employees can enter on the sign-up page.
What the employee sees
Whichever method you use, the employee ends up on the same sign-up page. They enter their name, email, and password, and they land inside your organisation. No manual approval step is required.
After signing up, the employee:
- Opens the Downloads page on the web app.
- Installs the tracker for their OS.
- Signs in to the tracker with the same email and password.
- Hits Play to start their day.
For a longer version they can read themselves, send them to Accepting an invite.
Managing pending and existing members
Back on the Members page you can:
- See Active members and their current status (signed in, currently recording, last seen).
- See Pending invitations and resend or delete them.
- Deactivate a member — keeps their historical data but stops their tracker from uploading new activity.
- Promote a member to owner, or demote an owner back to member.
- Trigger a password reset email for a member who's locked themselves out.
